Virtual care is no longer the backup plan healthcare organizations rushed into during a crisis, it seems now it is becoming a permanent part of how care is delivered, measured, and improved. Still, quite a few telehealth programs keep stumbling, mostly because they focus on purchasing technology first before they even redesign the whole system around it. That way of doing things rarely sticks, it just fades out.

A solid telehealth implementation guide really needs to begin with governance, then layer in secure technology, next tighten up clinical workflows, reduce those patient barriers, and keep scaling through ongoing refinement.

This article maps that whole path into practical phases, so healthcare leaders can build virtual care services that are secure, compliant, scalable, and also planned for long-term success.

Strategic Alignment and Multidisciplinary Governance

Many healthcare organizations think telehealth begins with choosing a platform. It doesn’t. The real work starts kind of earlier. Before you compare features or vendors, take a moment and decide who really owns the program, and what ‘success’ should look like in practice. Don’t just do a quick chat, build a steering committee with an executive sponsor, a lead physician champion, a CMIO, a compliance officer, and an operations lead, so every big decision gets both clinical and operational support, no gap in between.

Then, agree on measurable goals rather than these vague ambitions. Track patient reach, how fast appointments get taken up, how clinicians are actually adopting the workflow, and whether emergency department diversion is happening starting day one. At the same time, try to keep the first rollout kind of focused, especially on specialties where virtual care makes sense in a pretty clean way, like primary care, chronic disease management, and behavioral health.

The World Health Organization echoes this thinking. Its Global Strategy on Digital Health says telemedicine should rest on leadership, governance, investment, infrastructure, policy, workforce, and services. The message is simple. Technology can accelerate change, but it cannot create direction where none exists.

Tech Architecture, EHR Integration and Cybersecurity Compliance

No clinician really wants to open three different screens, just to finish one consultation. But somehow this is exactly what happens when a telehealth platform sits outside the EHR. Each extra login, copied note, or manual update adds friction to the workflow and slows care down. And it also raises the chance for errors, even if nobody intends it. By tying virtual care tools to HL7 and FHIR application programming interfaces, patient histories, medication orders, consultations and clinical paperwork can keep flowing inside the same connected ecosystem, instead of sitting in yet another separate database, that feels cut off.

Security needs that same level of seriousness, not later-on thinking. Patient trust tends to evaporate fast when data protection becomes kind of an afterthought. Strong encryption with AES-256, secure WebRTC video sessions, multi-factor authentication, signed Business Associate Agreements, and audit logs should be seen as baseline expectations, not something you “upgrade” for. And when you’re evaluating vendors, reliability counts too. A platform with SOC 2 Type II compliance, uptime above 99.9% and a genuinely smooth mobile experience tends to deliver more durable worth than something that ships with a stack of extra features nobody actually asked for.

The World Bank also gives a pretty practical reminder of why interoperability is a big deal. In its digital health initiative in Yemen, it connected nearly 4,800 healthcare facilities, and it ended up reaching more than 11 million people by pairing telemedicine with interoperable systems, plus stronger data governance. The technology worked because the ecosystem worked.

Clinical Workflow Optimization and Care Team Training

A virtual appointment is only one part of the patient’s journey. Everything around it decides if the whole thing feels smooth or frustrating. Clear triage protocols, online scheduling, pre visit technical checks, virtual waiting rooms, and structured follow up should work like one connected process, not like separate chores stitched together at the last minute.

Also, documentation needs the same kind of discipline. Using standard EHR templates for remote consultations makes it kind of easier to snag consistent clinical detail, while still enabling proper CPT and HCPCS billing. It saves time, trims down repeated effort, and helps clinicians remember a little less after each appointment, not that they ever really stop juggling everything.

That said, technology adoption is where lots of rollouts quietly lose momentum, and everything feels fine until it suddenly isn’t. People rarely resist change because they dislike technology. They resist uncertainty. Running mock consultations before launch helps physicians and care teams get a feel for the new workflows earlier, without that pressure of treating real patients. Small problems show up fast, confidence starts to rise, and the rollout becomes way less disruptive than it would otherwise. In that sense, it matches what the WHO Western Pacific office wrote in June 2026, the competency framework that highlights how to strengthen education and actual practice for the digital health workforce. Better technology helps, but better prepared teams keep virtual care running.

Patient Engagement, Access and Digital Equity

Patients should never need a user manual to see a doctor. Every extra download, registration step, or confusing login increases the chances of a missed appointment. A browser-based consultation link sent through SMS or email removes unnecessary friction and gets patients into the consultation faster. Sometimes, the simplest experience is also the most effective.

Access goes beyond convenience. A telehealth service should work even for people with slow internet connections, and it needs to support audio only conversations where it makes sense, plus multilingual communication so it can serve different communities, not just one group. Also, accessibility cannot be treated like “a nice extra” you turn on later. It has to be designed in from the start, because otherwise it just won’t hold.

Patient education matters just as much. Short guides before a visit, simple digital check in steps, and basic technical support help patients show up ready, instead of stressed or worried. That usually cuts the drop offs, and it gives clinicians more time actually delivering care instead of spending the session untangling connection issues.

This direction is backed by the WHO and ITU. They both say that accessible telehealth can improve healthcare access for about 1.3 billion people worldwide who live with a significant disability. Their guidance also stresses that accessibility should be built into telehealth planning from the beginning, not bolted on after the platform is already live.

Scaling, Reimbursement Parity and Financial Sustainability

Launching a telehealth service is one milestone. Keeping it financially sustainable is a totally different challenge honestly, Growth depends on demonstrating that virtual care really improves outcomes while also making more effective use of clinical resources. It kind of begins with getting a handle on reimbursement rules, because if you miss those the whole thing gets tangled. Organizations should align their services with Medicare and Medicaid requirements, keep an eye on commercial payer parity laws, and use Remote Patient Monitoring codes correctly wherever they’re actually relevant and not just “maybe.”

Scaling also demands constant measurement. Track technical performance through metrics like call quality, latency, and dropped sessions, but don’t stop there. Review clinical outcomes, patient satisfaction, and provider adoption every quarter. Those insights show where workflows need refinement before small problems become expensive ones.

Expansion should be deliberate, not rushed. Once one specialty is performing consistently, the same operating model can be adapted for chronic care, behavioral health, specialist consultations, and eventually hybrid hospital-at-home programs. Every new service should build on a process that already works instead of creating another isolated workflow.

That direction is reflected in McKinsey’s analysis of the U.S. Rural Health Transformation Program, which includes $50 billion over five years for technologies such as interoperable electronic health records, telehealth services, and AI. The signal is hard to ignore. Virtual care is steadily becoming core healthcare infrastructure, not an optional digital service.

Conclusion

Telehealth is no longer competing with traditional care, it is kind of joining it. The organizations that do well won’t be the ones with the longest feature list, or even the newest platform out there. Instead, it will be the ones that set up strong governance first, actually weave technology into what clinicians are already doing day to day, and put real effort into their care teams, while also taking away needless obstacles for patients. Sure, security and compliance matter a lot and can’t be skipped, but honestly they’re only one piece of the equation. The big, lasting win shows up when virtual care feels as dependable and connected as a visit in person. If you treat telehealth like an operating model instead of yet another IT project, it becomes much easier to grow, and still keep everything reliable.

JotPsych announced JotMeet, an integrated telehealth product that gives behavioral health clinicians a single permanent video room their patients can walk into at any time, with recording, AI-generated notes, and billing all connected directly to the patient record.

Behavioral health accounts for roughly two-thirds of all telehealth encounters nationwide, yet most clinicians still conduct virtual visits in a separate tool from where they document and manage care. With JotMeet, clinicians who conduct virtual visits can now run their entire workflow inside JotPsych, from the moment the patient checks in through compliant claim submission, making it their sole clinical platform. JotPsych now includes scheduling and calendar management, patient communications, structured forms and testing instruments, lab order generation, payer-aware documentation and audit intelligence (JotAudit), integrated billing and claims management, certified e-prescribing (JotRx), and native telehealth with built-in recording.

One Link, Every Patient, Every Visit

Many behavioral health clinicians conduct virtual visits through third-party tools like Doxy.me or the video features in their practice management software. The video call happens in one place. The AI scribe runs in another. The note gets written somewhere else. Even clinicians who already use JotPsych for documentation have had to leave the platform for the one thing that takes up most of their session: the visit itself.

JotMeet changes that. Each clinician gets one permanent waiting-room link. They share it once, post it on their website, drop it into their email signature, and every patient uses the same link for every visit. The link never expires and is never tied to a specific calendar appointment. When a patient is ready, they click the link, pass a quick device check, enter their name, and wait. The clinician sees them arrive in a people panel inside JotPsych and admits them into the visit with a single click. The video call opens, the recording starts, and the AI-generated note flows straight into the chart.

“Our clinicians were already running their entire clinical day inside JotPsych,” said Nathan Peereboom, CEO and co-founder of JotPsych. “Documenting, prescribing, auditing, managing patients. The one thing that still pulled them into a separate tool was the video visit itself. With JotMeet, the visit happens where everything else already lives, and clinicians no longer have to think about whether the link is fresh, whether the room is set up, or whether the recorder will fire. They share one link, and the rest just works.”

Also Read: Quantum Health Acquires CirrusMD for Physician-Led Virtual Care

Video Visits Built Into the Clinical Workflow

JotMeet is not a standalone video tool bolted onto a documentation platform. It is built into the clinical record itself, so the video visit, the encounter, and the AI-generated note are connected from the moment the patient walks in.

Specifically:

One persistent link. Every clinician with JotMeet has a permanent waiting-room link they share once. Patients use the same link for every visit, with no scheduling step required on the clinician’s part.

Patient-initiated check-in. When a patient arrives, they enter their name, pass a quick camera and microphone check, and wait in a lobby. The clinician sees them in a people panel inside JotPsych.

Admit, record, and document in one click. Admitting the patient opens the video call, creates a walk-in encounter on the patient’s chart, and starts the recording at the same moment. There is no separate step to launch the recorder, and there is no risk of a session being captured without a chart to attach it to.

Picture-in-picture. During a visit, clinicians can navigate freely across JotPsych, reviewing patient history, checking prior notes, or accessing prescribing, while keeping the video call in a floating window.

AI-generated notes from the actual session. Because the recording is built into the video visit, the clinical note is generated directly from the conversation. There is no separate product capturing audio from another app.

“When the video visit, the encounter, and the recording all happen in the same tool, the documentation is better,” said Jackson Bierfeldt, CTO and co-founder of JotPsych. “There’s no accidentally late start. No switching to another platform and forgetting to hit record. No orphaned audio file that has to be attached to a chart after the fact. The clinician admits the patient and the whole session is captured from the first word, on the right chart, with the right billing context already attached.”

Telehealth Modifiers That Attach Automatically

Missing or incorrect telehealth modifiers are one of the most common reasons behavioral health claims get denied. Payers require specific place-of-service codes, telehealth modifiers, and session duration documentation for virtual visits, and the requirements vary by payer. When the video visit happens in one system and the claim is submitted from another, these modifiers often get entered manually or missed entirely. Behavioral health already faces some of the highest claim denial rates in healthcare, and telehealth modifier errors are a significant contributor.

Because JotMeet connects the video visit directly to the encounter, the clinical note, and the billing workflow, telehealth modifiers and place-of-service codes attach automatically. The clinician doesn’t need to remember to add them. The result is cleaner telehealth claims, fewer modifier-related denials, and reduced audit exposure.

“Telehealth modifiers are one of those things that get missed constantly,” Peereboom said. “Clinicians are overwhelmed. The visit happened on Doxy, the note was written in the EHR, and the claim was submitted from a third system. The place-of-service modifier, the telehealth indicator, those details get overlooked, and the claim gets denied. You either need a third-party biller going back to double-check everything, or you need the system to just do it. JotPsych just does it.”

Included Health has launched Provider Connect, an innovative AI-powered healthcare navigation tool that allows members to find top-tier, economical medical practitioners while saving on needless expenses related to healthcare for employers.

By integrating into Dot, their AI assistant, Provider Connect uses real-time context about the patient, along with clinical quality and cost information, to make recommendations regarding medical providers based on an individual’s healthcare needs. By leveraging personalization, transparency in terms of the scoring of quality and scheduling appointments with a specific provider, Included Health seeks to make a complex process easy.

Based on the statements from Included Health, the technology leverages a wide range of data, including billions of points related to clinical information and costs, along with many other specialty-specific quality measures. The platform analyzes factors such as a patient’s health history, risk profile, insurance coverage, and provider preferences to match members with physicians best suited to their needs.

“Employers are under real pressure to manage healthcare costs, and members are overwhelmed by choices that reveal very little about quality,” said Nupur Srivastava, chief operating officer at Included Health. “With Provider Connect embedded as part of Dot, Included Health’s AI assistant, we are significantly well positioned to not only find members a doctor, but rather, connect them with a high-quality doctor who is extremely relevant for their care need. The intelligence of Provider Connect, paired with the personal engagement of our in-app experience, and backed by our clinician-in-the-loop model, is changing behavior and helping employers leverage quality to better manage trend.”

The company said Provider Connect also delivers cost transparency by allowing users to compare out-of-pocket expenses and schedule appointments directly through the platform. Included Health reports that its provider-matching capabilities have already helped nearly four million members over the past decade, generating a 92% increase in connections to top-quartile clinicians and contributing to measurable healthcare cost savings.

The launch reflects growing demand for AI-powered healthcare navigation tools that can improve patient outcomes while helping employers better manage rising healthcare expenses.

The acquisition embeds physician-led virtual care into Quantum Health’s solutions, expanding immediate access to care, strengthening quality steerage and lowering costs.

Quantum Health, the leading healthcare navigation company, announced it has acquired CirrusMD, a premier on-demand virtual care company. The acquisition brings together navigation and physician-led virtual care to drive more immediate care integration and stronger outcomes for members across their healthcare journey.

This acquisition builds on Quantum Health’s recent momentum expanding clinically-validated provider steerage through Embold Health and launching its expanded solution suite built on a new agentic AI platform further strengthening the company’s ability to act earlier, guide members more effectively and deliver measurable savings.

Strengthening Real-Time Intercept with Physician-Led Care

Quantum Health’s unique Real-Time Intercept® model identifies critical healthcare moments as they happen, enabling earlier engagement with members and providers than traditional navigation programs and health plans. This acquisition strengthens that model by adding an embedded physician-led clinical team that can engage members earlier in their healthcare journey, often at their first moment of need, before care and costs escalate.

With our new virtual care capabilities, members can connect with a doctor in under 60 seconds through chat-first care available 24/7/365. Its physicians provide comprehensive virtual primary care and urgent care services. This includes annual wellness visits, weight management, women’s health, behavioral health support, lab orders, preventive screenings such as mammograms and colonoscopies, and more. Virtual care is typically lower cost to deliver than in-person care, making it a practical and scalable way to provide immediate clinical support while helping employers better manage healthcare spend.

Building on its quality foundation with Embold Health, which delivers clinically-grounded and personalized provider quality recommendations to members, Quantum Health is now further embedding direct physician care into navigation. This integration enables earlier comprehensive care and physician-driven referrals and proactive outreach, helping members avoid unnecessary emergency room visits, reduce delays and access the most appropriate, high-quality care from the start. The result is a more complete model delivering the right care, at the right time, at the right cost.

“Healthcare needs to work earlier, faster and cost less,” said Dayne Williams, Chief Executive Officer of Quantum Health. “By bringing CirrusMD’s physician-led virtual care directly into our navigation model, we are fundamentally strengthening Real-Time Intercept by engaging members sooner, improving outcomes and delivering meaningful healthcare cost containment for the employers and members we serve.”

Accelerating Innovation Through Agentic AI

The integration of CirrusMD will be powered by Quantum Health’s expanded solution suite built on its new agentic AI platform. Building a best-in-class human centered model, Quantum Health’s agentic AI proactively identifies care opportunities, surfaces next best actions and supports members, Care Coordinators, and now physicians with real-time insights that drive earlier and more effective engagement.

By weaving agentic AI throughout the combined navigation and virtual care platform, Quantum Health enhances its ability to deliver smarter, embedded steerage, ensuring members receive the right support with greater precision, clinical guidance, and personalization.

Combined Scale and Impact

Both organizations share a strong sense of purpose: helping members get the best care the moment they need it. By combining the two companies, they are closing the gaps in care, guiding members throughout their experience and ensuring timely outreach, engagement and follow-up.

“Our virtual care platform was built to remove barriers to care by giving people immediate and affordable access to trusted physicians,” said Jamie Hall, Chief Executive Officer of CirrusMD. “By joining Quantum Health, we can extend that impact even further by integrating real-time physician care directly into the navigation experience and helping millions of members move seamlessly from question to action.”

This move further cements Quantum Health’s leadership position in healthcare navigation by addressing a critical need: easy, always-on access to physician-led virtual care integrated directly into the navigation experience. Ultimately, this evolution positions Quantum Health as a more clinically enabled partner that acts earlier, guides members more effectively and delivers measurable improvements in health outcomes at scale.

The combined company will include over 2,300 team members known internally as Healthcare Warriors® and serving more than 20 million members across private and public sector organizations throughout the United States.

Together, Quantum Health and CirrusMD are redefining how navigation and care come together, meeting members where they are and guiding them forward with clarity, confidence and clinical expertise.

Northwell Health and K Health have partnered to launch Northwell Primary Care Now, a virtual primary care platform in New York powered by K Health’s clinical-grade artificial intelligence, delivering same-day appointments, personalized medical chats, and seamless integration with Northwell’s existing care network. In this service, patients begin by interacting with an AI Medical Chat that gathers information about their symptoms and synthesizes it for a physician, after which they are either connected to a doctor virtually or routed to in-person care; by the time the physician joins, the intake is complete, enabling faster and more focused visits.

Rather than replacing human clinicians, the AI component is designed to supplement traditional care “using AI to improve responsiveness to patients, enhance information gathering and utilization, and improve overall care delivery while maintaining a live physician model.” John D’Angelo, CEO of Northwell, remarked, “This new joint venture represents a significant step forward in making quality healthcare more accessible to our patients.” And according to Ran Shaul, Co-founder & CPO at K Health, “We are redefining primary care and defining a new patient-centric standard of care. The K Health technology will be available to millions of patients … The partnership with Northwell represents a tremendous opportunity to change primary care for the better of patients and providers.” This initiative joins other leading systems such as Cedars-Sinai, Hackensack Meridian, Hartford HealthCare, Mass General Brigham, and Mayo Clinic in partnering with K Health to scale AI-driven primary care delivery.

As wage pressures, regulation, and caregiver shortages strain post-acute providers, Arya is using AI to automate non-clinical administration, freeing resources to focus on care

Arya Health (Arya), an AI company helping home health and post-acute care providers automate scheduling, compliance, and other administrative operations, announced its $18.2 million Series A funding. The round was led by ACME Capital, with participation from Ridge Ventures, Twelve Below, executives from OpenAI, and leading post-acute care providers, bringing Arya’s total funding to $25 million.

Post-acute care providers, including home healthcare agencies, hospice providers, and long-term care facilities, are facing unprecedented strain. Rapid regulatory changes, caregiver shortages, and escalating wage pressures are pushing an already margin-constrained industry to the brink. Meanwhile, heavy private equity investment and consolidation call for a renewed focus on operational excellence and thinking beyond the traditional “people-heavy” approach to post-acute care administration.

Arya is building a new AI-native “system of action” that sits alongside the Electronic Medical Record (EMR) to automate the heavy administrative load that burdens front office teams, slows growth, and diverts resources from patient care and caregiver support.

“Post-acute care organizations spend roughly 25 cents of every dollar on non-clinical tasks,” said Kunal Sarda, CEO and co-founder of Arya Health. “That’s time and money that should be going toward caregivers and patients, not process. Arya is flipping that equation by using AI to take on the operational burden so providers can focus on delivering care, not moving patients, caregivers, and data around in their EMR. Our mandate is to make post-acute care administration more scalable, human, and cost-effective at the same time.”

Arya’s AI-powered digital agents automate key post-acute care workflows, including caregiver scheduling, compliance tracking, and hiring pipeline management. Embedded in daily operations, these agents continuously learn and adapt to increase workforce efficiency. Recent innovations include the Onboarding Agent, which reduces time-to-first-staffing by 50% with 70% less administrative effort; the Talent Acquisition Agent, which autonomously recruits and schedules caregivers with 60% less human effort; and the Compliance Agent, which eliminates manual license tracking and deploys in just one week. The company is also preparing to launch an Intake Agent in Q4, designed to accelerate patient start of care and reduce critical back-office bottlenecks.

The new funding will enable Arya to expand its product suite across additional administrative functions and scale hiring to keep pace with market demand. Arya has grown revenue more than 6x in 2025 and is on track for 10x year-over-year growth by year-end.

As part of this next phase, Arya has appointed Melinda Phillips, former CEO of Thrive Skilled Pediatric Care (acquired by Aveanna), to lead its Care@Home Center of Excellence, where she will help scale AI adoption across the home care sector. A veteran operator of one of the nation’s largest post-acute providers, she brings deep industry experience to Arya’s technology-driven team, strengthening the company’s blend of insider expertise and outsider innovation.

“Arya represents exactly the kind of innovation post-acute care needs right now,” said Aike Ho, Partner at ACME Capital. “They’re pairing deep operational expertise with cutting-edge AI to unlock entirely new economics for providers, without sacrificing the humanity at the heart of care.”

DUOS, a leading AI-powered digital health platform for member activation and benefits execution, announced a $130 million strategic growth equity investment led by FTV Capital, a sector-focused growth equity firm with deep expertise in healthcare technology and services. The investment round also includes participation from Forerunner Ventures, DUOS’ earliest institutional investor, bringing the company full circle as it enters the next phase of growth. The investment will accelerate platform innovation, enhance AI capabilities and expand go-to-market operations across Medicare Advantage, Medicaid and ACA marketplace plans nationwide.

In conjunction with the investment, DUOS promoted Jenn Kerfoot to President of Market Operations to continue advancing commercial success and positioning DUOS as the operating layer to drive both member engagement and measurable plan performance leveraging AI.

“I started DUOS with the belief that health plans could do more to support older adults not just with resources, but also with meaningful follow-through,” said Karl Ulfers, CEO and Co-founder of DUOS. “That belief has only deepened as we’ve helped more members navigate complex systems and delivered outcomes for plans under pressure. Our AI ensures the right action happens at the right time. FTV shares our vision for what’s possible, and their partnership and track record in the healthcare sector optimally positions us to continue growing with purpose. Jenn’s promotion also reflects the kind of leadership this next chapter deserves as we continue scaling our impact and evolving how we serve both members and plans.”

Medicare Advantage enrollment has grown significantly, now covering more than half of all beneficiaries, as health plans face rising pressure to improve outcomes, manage costs and reduce churn. At the same time, members must navigate increasingly complex benefits, digital barriers and unmet social and clinical needs that directly affect plan performance. These challenges are pervasive, yet most engagement solutions stop at outreach, failing to close the loop between benefit design and member action. Plans are left with fragmented tools, incomplete data and lagging indicators that hinder Star Ratings, risk adjustment and retention resulting in avoidable revenue loss and increased operational costs.

DUOS addresses this challenge head-on with an AI-powered infrastructure that ensures its members not only engage but follow through. Founded in 2020, DUOS’ member experience and performance platform guides members through the benefits and services they already have, but too often go unused. From helping members retain coverage through Medicaid redetermination and enroll in government programs like LIS, to coordinating care through Annual Wellness Visit scheduling and mail-order pharmacy enrollment, DUOS ensures members complete high-value actions that directly impact plan revenue and retention. Embedded throughout the platform, DUOS’ AI learns from member behavior and intent, identifies what to do next and deploys intelligent digital and human support at the moment it’s needed.

“Most health tech promises to improve engagement, but DUOS actually proves it, with real completion rates and measurable impact,” said Alex Mason, Partner at FTV Capital. “At FTV, we’ve spent decades investing in healthcare innovation, and DUOS stands out for leveraging AI to build the critical infrastructure health plans need to operate efficiently and improve member outcomes at scale. We’re thrilled to support the company in building on its impressive momentum and driving the platform’s continued expansion.”

“DUOS was built to solve what we see as healthcare’s final-mile problem,” said Jenn Kerfoot, President of Market Operations at DUOS. “We’re not just solving for today’s engagement challenges. We’re building the infrastructure health plans need, not only for the members we serve now, but also for the version of this system we’ll inherit ourselves one day.”
